Assistant-In-Chief — numo

numo creates software for the financial services industry. We're a team of technologists, designers, business thinkers, and academics that create software and data products. We build innovative consumer and enterprise software in-house by applying cutting-edge approaches, technology, and data analysis techniques to financial service opportunities. Through academic and corporate partnerships, we source our project ideas by understanding immediate business challenges at PNC. We work directly with staff inside the bank to build products that will create immediate value for PNC as well as architect products that can be spun off into standalone companies.

numo is seeking an Assistant-In-Chief to be at the heart of our team's business operations. In this role, you'll create a work environment that enables team members to do their best work and will be the driving force that keeps our office running. You'll represent the numo brand, often serving as the first impression welcoming future partners, team members, and visitors. You'll anticipate the needs of team members and resolve operational and administrative issues before they arise. The ideal candidate is innately organized, excited to take on all types of tasks, and eager to be hands-on to keep our company running smoothly.

This full-time opportunity is based in Pittsburgh, PA.

What you'll work on:

  • Supporting the team with administrative tasks like calendaring, trip planning, and team travel, as well as many executive assistance needs for our leadership team
  • On-boarding, off-boarding, and completing paperwork for employees, as well as support recruiting efforts
  • Training new employees in building access, office etiquette, and hardware/software assignment
  • Managing office facilities and vendors, ordering office supplies and food/drinks, and handling all mail
  • Managing office tidiness and environment in conjunction with building management
  • Working with the Finance team to prepare annual budget forecasts for the Office Management-related cost centers
  • Handling accounts receivable/payable, including drafting invoices and collecting and tracking payments
  • Planning events that promote company culture and recognize milestone achievements, including happy hours and birthdays
  • Very occasionally being available outside business hours for security issues/questions

What we're looking for:

  • 2+ years office management or executive/administrative experience, working in a fast-paced environment
  • Strong computer skills including Mac/IOS, Microsoft Office Suite, Concur, and accounting and/or AP software
  • High-energy personality and excellent communication and interpersonal skills
  • Strong work ethic with a professional and polished demeanor
  • Demonstrated organizational and planning ability
  • Self-motivated and desire to learn quickly, multi-task, and work independently as well as part of a team
  • Flexibility and adaptability within a fast-paced, dynamic, and unpredictable startup environment.
  • Natural curiosity and commitment to continual improvement
  • Bachelor’s degree preferred, but not required
